Alder Road Group Pty Ltd (ACN 169 901 884) trading as Alder Road (“Alder Road”, “we”, “us” or “our”) is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) (“Privacy Act”), the Australian Privacy Principles set out in the Privacy Act (“APPs”) and this Privacy Policy.
Alder Road provides event organisation services, venues and event facilities, hospitality and catering services and related consultancy (“Services”). This Privacy Policy explains how we manage your personal information (that is, information or an opinion about you, whether true or not, which identifies you or from which your identity is reasonably identifiable), including our obligations and your rights in respect of our dealings with your personal information.
We will only collect, hold, use and disclose your personal information in accordance with this Privacy Policy. By using our Website and/or Services, you are consenting to the terms of this Privacy Policy.

How we collect your personal information

Where reasonable and practicable, we will collect your personal information directly from you. For example, we may collect the personal information you directly give us through some of the following means:

when you visit or connect with our social media accounts;
when you engage us to provide you with Services;
when you contact us by email, phone or through our social media accounts;
when you have a meeting with us;
when you subscribe to our direct marketing list;
when you enter one of our competitions or trade promotions;

Our purposes for handling your personal information

We use computer programs to make or assist with decisions that might affect your rights or interests. These decisions include:

automatically triaging and prioritising your enquiry for our Services; 
routing your enquiry to the most appropriate team member; 
generating indicative quotes and recommending menu, package and service options based on the details you provide and our past service history; 
checking availability for Services and allocating operational resources (including staffing, delivery time windows, equipment and suppliers); 
assisting with workforce decisions such as screening and shortlisting you as a candidate for a role; and 
detecting and preventing fraud, spam or security-risk activity.

We will use and disclose the kinds of personal information mentioned above in the operation of computer programs.

We may also use and disclose the same kinds of personal information in our day-to-day operations, including to adapt, predict, recommend and personalise processes using artificial intelligence (“AI”) technologies. We may use AI technologies during:

our customer service and enquiry handling processes (including live chat and email support, drafting responses and summarising interactions); 
our sales and marketing processes (including audience selection, lead scoring, content drafting and performance analysis); 
our event planning and operations processes (including forecasting demand, optimising rostering, supporting inventory and procurement planning); and 
our back-office administration processes (including document processing, invoice and payment reconciliation support and reporting).

Your personal information may be disclosed to service providers that we engage to provide us with and conduct AI, and other persons involved in our use of this kind of technology including developers or owners of the technology.

Protection of personal information

We will hold your personal information securely in either a physical form or in electronic form on our secure servers. We will take all reasonable steps to protect personal information against unauthorised access, modification, misuse, disclosure or loss through physical restrictions and password protection for accessing electronic IT systems. If you provide paper-based documentation, we may retain the paper documents in addition to saving copies in an electronic format.

We will endeavour to ensure that our service providers have protection for electronic IT systems and other necessary restrictions, our staff are trained regarding security of personal information and their access is restricted where necessary, and will destroy and de-identify the personal information once it is no longer required.

Direct marketing

We may also use your personal information for purposes other than the primary purpose for which we collect it, including the purpose of direct marketing. We may provide you with information about new products, services and promotions either from us, or from third parties which may be of interest to you.

We will not disclose your personal information to third parties for marketing purposes without your consent.

You may opt out at any time if you no longer wish to receive commercial messages from us by making a request to us (by contacting our Privacy Officer, whose contact details are below). Alternatively, you can follow the steps to unsubscribe which are set out in the direct marketing communications. We will use reasonable endeavours to remove your personal information from the direct mailing list within a reasonable period of time from receipt of the request.

Cookies

A cookie is a small text file stored in your computer’s memory or on your hard disk for a pre-defined period of time. We use cookies to identify specific machines in order to collect aggregate information on how visitors are experiencing the Website. We will respond to all requests for access to or correction of personal information within a reasonable time. If we refuse access, we will provide you with a written notice stating our reasons for refusing access. We may seek to recover from you reasonable costs incurred for providing you with access to any of the personal information about you held by us.

We are not obliged to correct any of your personal information if we do not agree that it requires correction and may refuse to do so. If we refuse a correction request, we will provide you with a written notice stating our reasons for refusing.

Overseas transfers of personal information

Personal information is stored in databases operated by Alder Road in Australia. We may share that information to our affiliated companies or associated businesses who are contractors or service providers for us located in Australia, Ireland, Estonia, Netherlands, Philippines, United Kingdom and United States of America.

We will only transfer personal information outside Australia to a third-party recipient if the recipient of the information agrees (or is compelled) to comply with privacy policies that are in accordance with (or are more stringent than) the APPs.

In dealing with your complaint, we may need to consult a third party. Our Privacy Officer will acknowledge any complaints received and provide you with an outline of the process and timeframes for responding to the complaint.
